Child Care Scheduling and Support Services Coordinator

job summary:
Working to collaborate with the Child Care Lead team and under the general direction of the Child Care Managers and the Child Care Director, the Child Care Scheduling and Support Services Coordinator (CCSSSC) will be responsible for executing and delivering the ANHBC and Alex House Children’s Centre Vision and Mission for the organization. Managing staff coverage across high-quality child care services, particularly in response to staff absences due to illness, leave, or training. This role involves compliance with educator-to-child ratios, qualifications, and maintains continuity of care by coordinating, casual, part-time, or float educators as needed. Overseeing and mentoring a team of casual on-call educators for Alex House by taking the lead with interviewing, hiring and training.
Support oversight of daily operations, ensuring regulatory compliance, and maintaining a safe and nurturing environment for children and their families. The position provides flexible, as-needed coverage for permanent staff and may step into leadership, support, or direct service roles depending on emergent daily requirements. The CCSSSC will integrate a Reggio Emilia inspired approach to learning, as well as the First Peoples Principles of Learning, and the BC Early Learning Framework. Other responsibilities include developing and maintaining strong relationships and communication with children, families, community partners and colleagues, while implementing high standards of quality care and supervision that promote the safety and well-being of all children.
Responsibilities:
Operations
Execute and deliver the Alex House/ANHBC Strategic Framework including values and principles, along with program specific Alex House Children’s Centres Vision and Mission.
Actively learn and implement a Decolonized approach, ensuring an anti-racist/anti-oppressive, and inclusive approach.
Uphold regulatory compliance related to educator-to-child ratios and supervision requirements.
Liaise with community and facility partners while ensuring a collaborative manner.
Assist Lead team with analysing needs to determine training model and implementation of child care training/workshops for Alex House Children’s Centres
Ensure compliance with all relevant service and safety standards (including Work Safe and Child Care Facilities Licensing), record-keeping and reporting requirements, and contractual obligations with staff, contractors, volunteers, and students.
Leadership
Monitor daily staff attendance and respond to last-minute call-ins or absences for staffing support needs where required/directed.
Coordinate and roster appropriate relief or casual educators to maintain regulatory ratios and qualifications
Maintain and update team rosters, ensuring optimal coverage across all child care centres and programs
Communicate efficiently with educators, the lead team regarding changes in shifts or staffing arrangements
ADP payroll system oversight and implementation for casual on-call educator team
Support Child Care Lead team with operational coverage planning (e.g., during annual leave periods)
Take the lead to implement and coordinate an online scheduling application
Work collaboratively and in partnership with the public colleges and our lead team to coordinate and place practicum students at each of the child care centres.
Mentor, guide and support practicum students
Working alongside Child Care Managers and Child Care Coordinators to ensure all relief staff have required qualifications and checks (e.g. ECE license to practice, first aid, etc.) and support Human Resource Assistant with ensuring all required credentials are on file.
In collaboration with Child Care Managers, Child Care Coordinators, Program Supervisors and/or Program Leads help take lead in staff hiring, orientation, training and annual staff reviews for the casual-on call educators
Program Development
Plan, develop and deliver daily activities that support and promote the health and development of the children 0-12 years of age.
Provide leadership and mentorship to support the childcare programs within Alex House with the implementation of the Alex House Curriculum. with a focus on the Reggio Emilia approach and the First Peoples Principles of Learning and the BC Early Learning Framework, in collaboration with lead team.
Support and mentor staff to create a vibrant and emergent curriculum where the environment is the third teacher, the educator are co-learners supporting the children in activities of their interest and providing opportunities for creative expression through a variety of media-art, dramatic play, music, risky play, outdoor play, etc.
Ensure healthy communications are maintained both internally and externally
Maintains program participation records and analyzes the same.
Provides first aid attention when circumstances require such attention and only when his/her first aid certification is current

Hiring Range: The hiring range is ANH PC7-starting at $27.48-34.94 plus $6 WE if candidate holds a valid ECE License to Practice certificate
Terms of Employment: 40 hours/week
Start Date: Successful candidate is expected to start as soon as possible

qualifications:
Valid Early Childhood Educator License -Infant and Toddler and/or Special Needs Certification an asset, with at least 5 years’ experience, (work in a not-for-profit setting preferred.)
Minimum 3-years of supervisory experience in a licensed child care setting an asset.
Strong understanding of the Reggio Emilia approach to learning and the BC Early Learning Framework, and First People Principles of Learning.
Understanding and experience using an online scheduling platform an asset
Understanding of the BC Child Care Regulations and Community Care Facilities Licensing Act.
Strong computer skills
Strong organizational and planning skills
Demonstrated ability to comply with policies and procedures regarding privacy, confidentiality, record keeping and reporting
First Aid Certificate, WCB first aid and asset
Medical/Immunization clearance
Clean Criminal Record Check
Class 4 driver’s license (or willingness to obtain)
