Front Desk Administrator
28-35 hours a week Term Position that could work into Regular Full-Time employment.
Alex House (Alex NH) is looking for a community minded person who is responsible for ensuring the effective development, and implementation of a variety of administrative activities and initiatives, under the direction of the Director, Core Operations. Areas of responsibilities will include- accounts payable, receipting, membership management and other administrative support. This position will be located at our main office in Crescent Beach, Surrey.
Duties and Responsibilities:
· Engaging with community as an Alex House representative in person and
on phone, overseeing reception activities during each shift.
· Prepare accounts payable invoices for approval.
· Assists admin team with data entry and administrative tasks which include
cash receivable and receipting using SAGE/Beanworks.
· Support Rentals Coordinator with enquiries, bookings, preparing invoices &
key deposits.
· Recruit, orient train, supervise, and evaluate practicum students and
volunteers as required.
· Support the preparation of promotional materials including social media
posts, newsletters, mail outs, and other marketing materials using
Canva, Unsplash and Mailerlite software. Receive, receipt and
process memberships.
· Assist with maintaining program and volunteer participation records.
· Assist program team with special events, including Alex Fest,
community engagement activities, volunteer events, community lunch etc.
in collaboration with relevant Alex NH staff, including preparing and
distributing marketing materials for events.
· Maintains office supplies inventory by checking stock to determine inventory
level, anticipating needed supplies, evaluating new office products, placing
and expediting order for supplies.
· Support with IT needs as able, reporting to Program Managers and/or Tech
team as directed.
Job Details:
Hourly Wage: Band OP2 Step 5 - $24.69
Terms of Employment: 28-35 hours a week Term Position that could work into Regular Full-Time employment.
Start Date: Successful candidate is expected to start as soon as possible
Closing Date: SEPTEMBER 30TH or until the right candidate is hired
Open until position is filled
Qualifications:
· Minimum 3-5 years of experience with a not for profit/social service sector.
· Strong background in Accounts Receivable and Accounts Payable, SAGE,
Office 365 esp. Excel, as well as Social Media channels
· Understand of the importance of diversity & inclusion, with an emphasis on
anti-racist approach.
· Sense of humor, and an ability to problem solve an asset.
